This Privacy Policy of the ARS FENNICA Foundation applies to the registers maintained by the Foundation, which comprise registers of award nominees and experts, contact information register, and event attendance lists.

Purpose of the processing of personal data

  1. Register of award nominees and experts
    Reporting on award nominees and experts, payment of expenses and awards and tracking of the same, reporting to the authorities, and statistical and research purposes.
  1. Contact register
    Provision of information about the Foundation’s activities, awards and nominations, and communications with stakeholders.
  1. Event attendance lists
    Organisation of events and networking with event attendees.

The legal basis for processing data is legitimate interest. Personal data are processed to enable the Foundation to carry out its operations.

Data Content of The Registers

  1. Register of award nominees and experts
    Basic information (name, contact details, date of birth/social security number/business ID/bank account number, etc.), and presentation and biographical data.
  1. Contact register
    Name, job title, organisation, email address, language, in some cases also postal address, telephone number and website address.
  1. Event attendance lists
    Name, job title, organisation, email address, language, in some cases also postal address and telephone number.

Sources of Personal Data

  1. Register of Ars Fennica award nominees and experts
    The data in the register is obtained from the nominees and experts, and from the Foundation’s archives in the case of previous award rounds.
  1. Contact register
    All Ars Fennica award winners and experts are added to the register. The Foundation also adds to the register individuals in its stakeholder groups whom it wishes to inform about its awards and activities. The data is obtained from the persons themselves at meetings, from business cards or emails, for example. Data may also be obtained from newspapers, publications, publicly available Internet sources, external service providers and from similar registers and sources, colleagues and industry-related meetings.
  1. Event attendance lists
    The data is obtained from the attendees themselves when they register for the event.

Personal Data Processing Principles

Personal data is collected only to the extent necessary for Ars Fennica’s operations, and are used only for purposes that are necessary and lawful for the same operations. Data subjects are informed of the collection of personal data as required by GDPR.

Ars Fennica may disclose personal data for legitimate purposes in accordance with applicable law. Data on award nominees, experts, and partners may be disclosed to parties representing the following groups:

  • Service providers involved in the provision of our website and services.
  • Public authorities when required by law, by the interests of the Foundation, or by the legitimate interests of a third party.
  • Partners for marketing purposes. Ars Fennica partners are contractual partners, stakeholders and other cultural actors with whom Ars Fennica collaborates or seeks to collaborate.

Event attendance lists may be disclosed to service providers and to other parties collaborating in event.

The Foundation will endeavour to keep the personal data in its possession up to date and to erase personal data within a reasonable time after there is no longer legitimate grounds or basis for their processing based on the EU General Data Protection Regulation, such as a legal obligation, data subject’s consent, legitimate interest of the controller, or a contract.

Right to access and request correction of data

Data subjects have the right to verify their data in the registers. Data subjects can also submit a request that the Foundation’s contact person verify their data. Data subjects have the right to request that the data controller erase or rectify incorrect data. Data subjects also have the right to restrict and to object to the processing of their data.
